Awards ceremony terms and conditions for users

The capitalized terms used in this document have the meaning defined below

1.1 “Attendees” refers to individuals who attend the FPP Events.

1.2 “Additional Terms” refers to terms and conditions that complement these Terms and Conditions for FPP Events and that apply to specific FPP Events.

1.3 “FPP Events” refers to the Frontiers Planet Prize and all associated online, in-person or hybrid events organized by the Frontiers Research Foundation (“FRF”), alone or in cooperation with Frontiers Media SA or its affiliates (“Frontiers”), and/or the Villars Institute.

1.4. “FPP Events Content” refers to any text, picture, graphic, audio-visual content, live presentation or other content, in any format, accessible by Registrants and Attendees via the FPP Events Platform or as part of the FPP Events.

1.5. “FPP Events Platform” refers to the digital platform (including any related mobile application) used by the FRF to enable the registration for the FPP Events and the online distribution of the FPP Events Content.

1.6. “FRF” means the Frontiers Research Foundation

1.7 “Registrants” refers to individuals who register for the FPP Events.

1.8. “Terms” refers to these Terms and Conditions for FPP Events as well as any Additional Terms where applicable.


1. Definitions

2.1. These Terms and Conditions for FPP Events apply to all FPP Events.

2.2. If any Additional Terms apply to a specific FPP Event, they will be communicated to Registrants (including persons invited by the FRF to register for a FPP Event) by featuring them on the FPP Events Platform, or via email.

2.3. By registering for any FPP Event, Registrants acknowledge the Terms and agree to comply with them. Registrants understand that the Terms constitute a binding agreement between them and the FRF and agree that their failure to comply with the Terms may lead to their exclusion from one or all the FPP Events without any compensation due to them.


2. Scope and binding nature

3.1. Attendance of FPP Events is generally by “invitation only”, but certain FPP Events may be open to public registration subject to conditions specified in Additional Terms.

3.2. In case minors are allowed to register, the FRF may require evidence of parents’ or legal guardian’s authorization.

3.3. Registration is personal and registration credentials cannot be shared with anyone.

3.4. For certain FPP Events, Registrants are required to create an account on the FPP Events Platform. Registrants are responsible for maintaining the confidentiality and security of their account and are not allowed to share their login information with anyone.

3.5. To register, Registrants are required to provide certain information about themselves such as first name, last name, position/title and affiliation, as well as other contact details for in-person Attendees. For certain FPP Events, Registrants may complement their account on the FPP Events Platform by providing additional biographical information. Registrants must provide information about them that is accurate and up to date and update such information in case of any change.


3. Registration conditions

Unless otherwise stated in any Additional Terms or otherwise communicated to the Attendees, attendance at FPP Events is free of charge and Attendees are responsible for all costs associated with attending the FPP Events.


4. Registration Fee and other attendance costs

The FRF reserves the right to change the dates, postpone, or cancel any FPP Event, or to modify the program without any obligation to compensate Registrants.


5. Changes and Cancellations

6.1. By registering for or attending an Event, Registrants and Attendees authorize the FRF, Frontiers, and the Villars Institute any third party authorized by the FRF, to capture and use their image, likeness, name, and voice.

6.2. This material may be used by the FRF, Frontiers, and the Villars Institute or any third party authorized by the FRF, in any format, in perpetuity for the coverage and promotion of the FPP and the FPP Events, worldwide and through all media now existing or to be invented in the future.


6. Use of Image and Likeness

The FRF will communicate with Registrants in relation to the FPP Events they registered for via the email address provided at registration, or via the FPP Events Platform. Such communications will include important information about the FPP Events, their agenda and organization or the Registrants account. The FRF may also inform Registrants about future FPP Events or other Frontiers’ activities or contact Registrants in relation to opportunities to collaborate with other FRF activities, or Frontiers activities, while allowing Registrants to unsubscribe from such communications at any time.


7. Communications

The FRF will process personal data of Registrants in accordance with the Privacy Notice and any additional notices included in Additional Terms


8. Data Protection

9.1. The FPP Events Platform will provide access to the FPP Events Content and may offer some further networking and messaging functionalities or other features, which Registrants can use to enhance their experience. These features must be used responsibly and lawfully, and it is in particular prohibited to use them to harass or impersonate any person, or to communicate any content that is obscene, discriminatory, unlawful or that infringes upon the privacy or intellectual property of any third party.

9.2. The FRF may issue guidelines or rules concerning attendance or use of the FPP Event Platform and Registrants agree to comply with these guidelines.

9.3. The FRF reserves the right to discontinue these functionalities or to exclude a Registrant or Attendee in case of misuse or violation of the relevant guidelines.


9. Use of the FPP Event Platform

10.1 FPP Events that take place in person require compliance by Attendees with any further rules to ensure the safe and successful staging and operation of these events.

10.2 All Attendees acknowledge that the FRF, Frontiers and/of the Villars Institute may issue some additional rules to ensure the wellbeing and good experience of all participants. For FPP Events organized in cooperation with the Villars Institute all Attendees will be required to accept the Villars Institute Code of Conduct at registration as a condition to their registration.

10.3 the FRF shall be solely competent to grant and withdraw and accreditation to attend FPP Events and reserves the right to refuse any accreditation, or to suspend or withdraw any accreditation previously granted at its discretion, including in case of suspected or confirmed breach of these FPP Terms and any terms referred to herein.


10. Attendance of in-person FPP Events

11.1 All FPP Events Content is the exclusive property of the FRF and/or the FRF rights holders, including the affiliated speakers and presenters.

11.2 Subject to Paragraph 12.2, Attendees do not have the right to record, copy, distribute, broadcast, or otherwise use the FPP Events Content without the FRF’ prior written consent.

11.3 If the FPP Event Platform or the FPP Events includes links or references to third-party resources, the FRF is not responsible for the content of these third-party resources.

11.4 “Frontiers Planet Prize” “Frontiers”, “Frontiers in”, “Frontiers Forum”, “Loop”, and the Frontiers logo are registered trademarks of the FRF or Frontiers and may not be used without prior written approval.

11.5 No commercial association with the FRF, the FPP Events or Frontiers is permitted unless with Frontiers prior written authorization.


11. Intellectual Property and right of commercial association

12.1 Unless otherwise provided in any Additional Terms, Attendees are allowed to capture pictures and record videos with non-professional audio-visual equipment and solely for their personal use while attending the FPP Events.

12.2 Attendees are allowed to share pictures from FPP Events on their social media feeds, for personal and non-commercial purposes only and without misrepresenting or altering the meaning of the original FPP Events Content, infringing upon the privacy or other rights of any other persons, or interfering with the operations of the FPP Events.

12.3 Attendees are not allowed to livestream the FPP Events, or any FPP Events Content, or to share video content recorded during the FPP Events via any media without the FRF prior written authorization.

12.4 The use and sharing of FPP Events Content made publicly available by the FRF on social media or any video hosting platform is subject to the conditions of such third-party platforms.


12. Recording and sharing FPP Events Content

13.1. To the extent permissible by law, the FRF, Frontiers and the Villars Institute disclaims all responsibility for any damage, injury, loss, or other harm connected with the registration or attendance of FPP Events including travel, meals, and accommodation.

13.2. The FPP Event Platform is provided as is, without guarantees of performance or availability.

14. Force Majeure

The FRF is not liable for the inability to fulfil any of its obligations due to events beyond its reasonable control, such as natural disasters, governmental action, or other force majeure events.

15.1. If any provision of the Terms is determined to be void or unenforceable, such determination shall not affect the remainder of the Terms which shall continue to be in force.

15.2. These Terms and any Additional Terms are governed by Swiss law.

15.3. Any disputes arising from these Terms and any Additional Terms are subject to the exclusive jurisdiction of the courts in Lausanne, Switzerland.
